Assistant Property Manager

JOB SUMMARY:
Responsible for assisting in efficient daily operation of buildings

RESPONSIBILITIES:

  • Assist under the direction of the Property Manager, operations, maintenance, administration, and improvement of properties
  • Establish good working relationship with tenants by understanding unique needs of tenants and handling issues quickly and efficiently as possible.  Document all necessary dealings with tenants.
  • Investigate complaints, disturbances and violations and resolve problems promptly and appropriately.
  • Assist with space showings and inquiries from prospective tenants for information on the property.
  • Aid with maintenance engineers and personnel, which includes developing good relationships and understanding their limits of performance in handling issues.
  • Visit properties and inspect ground and buildings to determine necessity of repairs and maintenance.  Plan, schedule, and coordinate general maintenance, major repairs, and renovation projects for properties along with developing good relationships with various contractors.
  • Facilitate contract management
  • Support Property Manager with collections of monthly assessments, rental fees, security deposits and delinquent rent balances
  • Obtaining proper letters of credit, insure all tenant charges are accurate; acquire current Certificates of Insurance from vendors and all necessary licenses as stated in lease.
  • Oversee tenant move-in/move-outs accordingly
  • Help Management prepare budgets for buildings accordingly and review monthly financial statements.
  • Assume other duties and special projects as assigned by management

 

REQUIREMENTS:

  • Bachelor’s degree preferred
  • Minimum of 3 years of experience in property management a plus
  • Strong oral and written communication, supervisory, administrative and organizational skills
  • Detail oriented
  • Must have experience in working with people in a professional setting and enjoy working with a diverse population
  • Excellent customer service skills
  • Working knowledge of Microsoft office programs

Asset Manager

Overview

The asset manager’s core focus is to oversee a portfolio of value-add and stabilized office properties, implementing strategic business plans and achieving financial objectives for the various funds or single-purpose entities of the Keystone Property Group. The Asset Manager will make recommendations/provide approvals to: Property Management- regarding operational activity; internal or third-party leasing agents- relating to lease proposals/lease terms; and, to senior team members regarding strategic actions to improve property level performance with fund level objectives in mind.

A more-detailed description of the asset management duties are presented below:

 

Operations

Directly manage and execute the annual business plan and the annual budget process, including overseeing the timeline, preparation and completion of each property’s annual revenue and expense budgets and five year capital plans

  • Review and present monthly/annual operating statements and budgets including, variance analysis and forecasts to senior management and investors as needed;
  • Interface daily with external partners/operators, contractors, property management team, brokers, vendors and other consultants;
  • Expense analysis- RE Tax appeals/Insurance/Utility costs;
  • Work with Property Management & Construction group in establishing capital needs/costs of capital projects etc;
  • Approve and process capital expenditure and construction draw requests;
  • Maintain/track Capital Reserve account balances- Leasing related/Capital projects;
  • Maintain cash flow models in order to evaluate current and future cash positions identify refinancing or disposition opportunities, manage capital improvement projects, and present findings & recommendations to the director of Asset Management;
  • Coordinate with accounting group, any distribution-related event to investors/JV Partners;
  • Prepare and deliver presentations to senior management, partners and investors including recommendations to enhance property value;
  • Responsible for accuracy and timeliness of management reporting on the portfolio: review of monthly third party reports as well as assisting in the compilation of internal asset management portfolio reports; and,
  • Complete physical inspections of properties periodically- quarterly/semi-annual.

Leasing

  • Responsible for understanding local market conditions (ie: competition, supply pipeline, demand drivers, major tenants, market absorption, etc.) for managed assets;
  • Accountable for all leasing and marketing responsibilities within asset manager’s portfolio, including direct correspondence with KPG and third party listing companies;
  • Ensure all new leases are financially structured to maximize profitability while minimizing risk relative to underwriting, budget and market conditions. Complete prospective tenant due diligence including the review of tenant financial statements; and,
  • In preparing budget, have discussions with leasing agents to establish leasing parameters (term, rate, TIs, LCs) and any upcoming leasing challenges/issues.

Acquisitions/Dispositions/Financing

  • Direct involvement or assist the acquisition/due diligence team in underwriting of potential investments in asset manager’s respective markets;
  • Monitor financial markets with a strong understanding of relevant industry submarkets where properties are held, including interest rate environment and overall economic condition in order to evaluate on-going risks and opportunities;
  • Assist in obtaining financing for assets. Responsibilities include analyzing proposed financing terms, financial statement preparation and coordination of the due diligence process;
  • Facilitate asset sell/hold analysis and discussions with senior management and work directly with disposition/due diligence personnel in the disposition of existing assets; and,
  • Be the point of contact for KPG in the sale of assets which is inclusive but not limited to broker interviews, financial statement preparation, assembly of due diligence items, review and approval of Broker’s Offering Memorandum/Flyer, discussions with broker during marketing process and discussions with senior management/JV partner(s) in selection of prospective buyer;

Valuations (if required by investors/lenders)

  • Oversee or perform periodical mark-to-market asset valuations- for possible dispositions/refinancing/capital infusion decisions;
  • If third-party appraisals are required, oversee process with 3rd party appraisers- provide required information; review draft appraisal; and,
  • Provide summary of market valuations- assumptions; period to period comparisons- to Senior Management, JV Partners and Investors, if required or requested.

Reporting

  • Prepare Monthly Memos- provide updates on operational results, leasing, building issues, capital project and any capital events- sale/refinancing/re-capitalization;
  • Quarterly Reports- if required per investor/JV document- provide quarterly reports tracking performance/trends/highlights;
  • Equity at Risk Report- if requested by Senior Management- outlining assets with current/potential risk issues;
  • Hold/Sell Analyses- provided for assets for potential dispositions or other significant capital events; and,
  • Annual Business Plans- if required per investor/JV documents.

Required Knowledge, Skills and Abilities

  • Strong understanding of real estate finance, complex deal structures, leasing, lease documents, property operations, and capital improvements for commercial properties;
  • Excellent written and verbal communicator;
  • Analytical problem solver who can creatively devise solutions and provide tactical advice/implementation strategies;
  • Self-motivated ;effective interpersonal and collaborative working style; a strong work ethic;
  • Ability to effectively manage internal and external relationships;
  • Excellent organizational skills and ability to prioritize work and meet deadlines; and,
  • Highly skilled in Argus and Excel. Proficient in MS Office suite, specifically Word, Outlook and PowerPoint.

Qualifications/Requirements

  • Bachelor’s Degree or equivalent work experience. MBA preferred;
  • Minimum of 10 years of experience in the commercial real estate industry with a minimum of 5-7 years of experience as a real estate asset manager; and,
  • Experience with multiple product types (i.e.: office, retail, industrial, multi-family) with a focus on office is preferred. Ability to travel domestically is a requirement.

Asset Management Associate

Keystone Property Group has an outstanding career opportunity for a driven, analytical focused Asset Management Associate to join our team. This position will support Senior Asset Managers in the day to day asset management functions with a key focus on managing the execution of the investment strategies within a specified portfolio of properties.

Specific responsibilities:

  • Utilize strong financial skills to develop sophisticated financial models, underwrite prospective lease economics, IRR analysis, promote and return waterfalls, cash flow forecasts, sell vs. hold analysis, and other ad hoc requirements
  • Develop information for financing purposes, work with lenders and intermediaries to obtain the best financing possible
  • Collect due diligence information in connection with sales and financing processes and assist with the closing of financings and sales
  • Responsible for updating property level ARGUS and Excel models
  • Provide lease analysis including net effective rent comparisons and prepare lender approval requests when required.
  • Work with the leasing department and Senior Asset Managers to create both short and long term strategies to add value on a property by property basis
  • Review monthly income statements, balance sheets, and variance reports on managed properties
  • Prepare quarterly market valuations of assets within the portfolio
  • Coordinate annual budget process between Leasing, Property Management, Accounting and Asset Management
  • Review lender draw requests and coordinate processing with Job Cost Accounting
  • Review of  CAM billings, reconciliations, and electric billings to ensure maximum collection of reimbursement revenue
  • Attend monthly team meetings for specified properties and follow-up on outstanding tasks with various departments (Leasing, Accounting, and Property Management) throughout the month.
  • Assist in the day to day asset management tasks on specified properties within the Portfolio
  • Develop a strong understanding of the real estate markets and communities in each of the target markets, including trends (both real estate and general economic), activities, developments, significant transactions and major players.

 

Skills:

  • Minimum 5 years of business experience with at least 3 years of real estate experience
  • Bachelor’s degree
  • Expertise in Excel, Word is required; Argus experience preferred.
  • Experience in financial modeling and analysis
  • Strong work ethic and an ability to work with limited supervision

Building Engineer

Keystone Property Group is seeking a full-time Building Engineer in Media, PA.

Principal Job Responsibilities:

  • Oversee and monitor the operation, and make adjustments of all mechanical systems including but not limited to refrigeration, heat exchanger, HVAC, electrical, emergency backup systems and hot water systems; monitors operation, and adjusts, and maintains refrigeration, chilled water, and air conditioning equipment; boilers, and ventilating and hot water heaters; pumps, valves, piping and filters; other mechanical and electrical equipment; record readings and make adjustments where necessary to assure proper operation of equipment. Requires the ability to analyze the operation of various systems, determine the cause of any problems/malfunctions and take corrective action as required.
  • Performs preventive maintenance on all base building and critical system equipment which includes but not limited to: assembling all tools, supplies and instruments necessary to complete the job, performing work with a minimum amount disruption, conducting immediate clean-up of work area, completing the preventive task sheet, returning tools to workshop, and unused supplies to store room, reporting any impending supply or material shortages and of any equipment problems.
  • Install and repairs plumbing/piping/tubing; wire single and three phase motors; run conduit; pull wiring to machinery, motors, operating parts, etc.; install pumps and motors; install compressors; heat exchangers; replace bearings in all types of motors; replace seals on pumps; install and repair piping, valves, filters, hot water systems and associated controls; assist other mechanics and operators with major repairs and maintenance of building and equipment. Installs, repairs, and maintains electrical controls, switching and motor controls
  • Maintaining building grounds and tenant suites, which may include tasks such aspainting, changing light bulbs, replacing blinds and trash removal
  • Communicate with management, tenant service representatives, and tenants regarding status of projects and ensure appropriate paperwork is completed.
  • Purchasing appropriate supplies for projects
  • Assume other duties and special projects as assigned by property manager.

Skills:

  • Excellent communication and follow up skills.
  • Ability to work in a fast-paced environment, prioritize, multi-task, think critically, solve problems and be organized.
  • Ability to repair, troubleshoot issues and perform routine maintenance on equipment and building systems such as HVAC.

Equipment inspections require getting on hands and knees to reach areas difficult to access.

Building Engineer

Principal Job Responsibilities:

Perform routine and extensive range of work in the repair and general maintenance of facilities, buildings, and equipment under general supervision. Execute work within established procedures and process under both verbal and written instructions.
